MeetHQ installs as an admin-managed Zoom Marketplace app. Once installed, transcripts from any host in your Zoom account are routed to MeetHQ.
Zoom General App
Installed once by an account admin. Webhooks deliver transcripts to MeetHQ for any host in your account.
Read-only transcripts
We request the minimum scopes needed to fetch AI Companion and cloud-recording transcripts. Granted scopes are visible on your MeetHQ Integrations page after install.
Text only
We store text transcripts and metadata. We never store audio or video — Zoom retains the recordings under your existing retention policy.
Install from the
Zoom Marketplace.
A Zoom account owner or admin must install the app. End-users do not need to authorise individually — they only need to link their Zoom email inside MeetHQ once installation is complete.
- 01 Sign in to marketplace.zoom.us as a Zoom account owner or admin.
- 02 Search for MeetHQ and click Add.
- 03 Review the requested scopes and click Authorise.
- 04 You'll be redirected to MeetHQ. If not signed in, you'll be asked to sign in or create a MeetHQ account first — your install will resume automatically.
- 05 Land on Integrations in MeetHQ. The "Org Zoom Integration" admin card confirms install.
What end-users in your org need to do
Each user in your org signs up for MeetHQ and verifies their Zoom host email under Integrations. Once verified, transcripts from their Zoom meetings (with AI Companion or cloud recording enabled) are automatically routed to their MeetHQ account. See the end-user setup guide below for the user-side walkthrough.
Two ways to uninstall.
Both produce the same result: the OAuth grant is revoked on Zoom's side and the integration is soft-deleted in MeetHQ. New transcripts stop arriving. Existing transcripts and analyses are kept (they belong to individual MeetHQ users).
Inside MeetHQ
- Sign in to MeetHQ as the admin who installed.
- Go to Integrations.
- In the "Org Zoom Integration" card, click Uninstall integration.
Zoom Marketplace
- Sign in to marketplace.zoom.us.
- Click Manage → Added Apps.
- Find MeetHQ and click Remove.
What happens to data
- — OAuth tokens: wiped immediately on uninstall.
- — Future webhooks: rejected by MeetHQ; Zoom stops sending them once the OAuth grant is revoked.
- — Existing transcripts and analyses: retained, owned by individual MeetHQ users. Users can delete their own data via account-deletion or by emailing support@meethq.io.
Common admin issues.
Install link expired
If the OAuth code expires while signing in (Zoom codes are short-lived), reinstall from the Zoom Marketplace and complete sign-in faster.
Previous admin left the company
A new admin can take over by reinstalling from the Zoom Marketplace. The most recent installer becomes the MeetHQ-side admin.
Webhooks not arriving
Confirm AI Companion or cloud recording is enabled in Zoom settings. Check the admin card on /integrations to verify the integration is still active and tokens haven't expired without auto-refresh.
Couldn't revoke on Zoom
If the in-MeetHQ uninstall fails, use Method 2 above (Zoom Marketplace → Manage → Added Apps → Remove). Either path is equivalent.
Requirements
Make sure you meet these before setting up the integration.
Zoom Pro or higher
AI Companion and cloud recording are not available on Zoom's free plan.
Admin or owner
You may need admin access to your Zoom account to enable AI Companion settings.
Enable Zoom
AI Companion.
AI Companion automatically generates meeting transcripts and sends them to MeetHQ when your meeting ends. This is the primary transcript source.
- 01 Sign in to the Zoom web portal at zoom.us
- 02 Navigate to Settings in the left sidebar
- 03 Click the AI Companion tab at the top
- 04 Toggle "Meeting Summary with AI Companion" to ON
- 05 Enable "Automatically start Meeting Summary for meetings I host"
Tip: If you don't see the AI Companion tab, your Zoom account admin may need to enable it at the account level first.
- 01 In the Zoom web portal, go to Settings
- 02 Click the Recording tab
- 03 Toggle "Cloud recording" to ON
- 04 Under cloud recording settings, check "Audio transcript"
- 05 (Recommended) Enable "Automatic recording" and select "Record in the cloud"
Note: Cloud recording storage counts toward your Zoom plan's limits. AI Companion transcripts do not.
Enable cloud
recording.
Cloud recording serves as a backup transcript source. If AI Companion doesn't generate a transcript, MeetHQ will automatically use the cloud recording transcript instead.
Link your
Zoom email.
MeetHQ matches incoming Zoom transcripts to your account using your Zoom host email address. Set this on the Integrations page.
- 01 Log in to your MeetHQ account
- 02 Go to Integrations (from the menu in the top-right)
- 03 Find the "Zoom" section
- 04 Enter your Zoom host email — the email address you use to sign in to Zoom
- 05 Click "Save Zoom Settings"
If you use SSO to log in to Zoom, use the email shown on your zoom.us/profile page.
- 01 In MeetHQ, navigate to Calendar in the sidebar
- 02 Click "Connect Google Calendar" and authorize access
- 03 Your upcoming Zoom meetings will appear automatically
For best results, schedule Zoom meetings through Google Calendar using the Zoom for Google Workspace add-on.
Connect Google
Calendar.
When Google Calendar is connected, MeetHQ automatically matches incoming Zoom transcripts to the correct calendar event, pre-filling meeting titles and times.

Host a meeting
Start or schedule a Zoom meeting as usual. AI Companion runs in the background automatically.
Transcript sent
When the meeting ends, Zoom sends the transcript to MeetHQ within minutes. No action needed.
AI analysis
MeetHQ analyzes the transcript with AI, extracting action items, decisions, and key takeaways.
Common issues
If transcripts aren't arriving, check these common causes.
Meetings aren't appearing in MeetHQ
- — Verify your Zoom host email in MeetHQ matches exactly
- — Confirm AI Companion is enabled and set to auto-start
- — Ensure you are the host (not a participant)
- — Very short meetings may not generate transcripts
AI Companion tab not visible
- — Requires Zoom Pro, Business, or Enterprise plan
- — Your Zoom admin may need to enable it at the account level
- — Contact your IT department or Zoom admin
Poor transcript quality
- — Use a quality microphone and minimize background noise
- — Ask participants to identify themselves when speaking
- — AI Companion transcripts have better accuracy than cloud recording
Zoom email doesn't match
- — If you use SSO, check your email at zoom.us/profile
- — The email must match character-for-character
- — Update it on the Integrations page
